Communication in Organizations
Communication as an Indispensable Tool
Communication is a indispensable tool to the flow of things to do within an organization. In the business world, success in distinct companies is linked to excellent communication. Leaders and managers are consequently charged with the task to master skillful communication to avoid challenges and misunderstandings that ensue in the process. Several communication strategies have been implemented and tested to be effective. However, all of them work towards achieving transparency, energetic listening, cultivating emotional intelligence and asking right questions. Through focusing and speaking intently, organizations can leverage effective communication strategies to generate reliable effects from with multiple audiences. At Houston Zoo, the CEO Andrew Clifford makes an effort to inform all employees on a number of issues. In this case, topics of discussion entailed arrival of new species in the zoo and birth of a new member. Meetings are held in different shifts to convey information to staff members. Since all employees are not able to attend staff meetings when important news is being passed across, the intranet team ensures information reaches all employees. Bi-weekly updates are posted to site to ensure every worker is abreast with current rules and regulations as well as different changes made to the organization. Fun activities scheduled within the zoo is also peppered along with regulations to ease the mood between employees and managers.
The Importance of the Message to Employees
The message being passed on to employees is quite critical since it inclusively affects their daily operations. The arrival of a new species and birth of an animal means additional work and more attention to different areas. The information; thus, requires immediate attention of all employee regardless of their work schedule. The message, therefore, serves as a practical example of leadership.
Choosing the Appropriate Communication Channel
The appropriate communication channel for such a vital message is that it should be able to reach all employees. The leader chose a proper channel since meetings offer direct contact with employees. Active listening is incorporated from both parties with an intended aim to understand the message being sent. It advocates for transparency in between leaders and staff, therefore, stemming trust in the workplace (Jin, Meng, & Berger, 2017). Clarifications can also be sought in case of misunderstandings and common ground established between employees and leaders. Employees at all level within the zoo are therefore able to perform effectively following the straightforward communication from their leader (Mayfield, & Mayfield, 2002). Immediate feedback is attained and subsequent actions achieved by employees.
Alternative Communication Channel
The manager would take a different approach to communicate the message to employees. Since there is an Intranet combat, it would be an effective detour to reach the staff. This channel is however laid back and does not trigger appropriate seriousness expected in this case. The channel would be partially effective as it is not guaranteed that all employees visit the site to check for updates within the zoo. The channel inhibits the concept of emotional intelligence. This implies that understanding, interpretation and response is derailed. Feedback from employees is also compromised as communication is only one way. There is no link for employees to leave their remarks or to ask for clarifications. This channel is however appropriate for less critical updates such as fun activities (Johnson-Sheehan, 2017).
The Importance of Effective Communication
Communication stands out as a crucial skill that a leader should possess. As much as it is a critical skill, communication can be elusive. It comes to most leaders as a gift whereas others have to culture the skill to attain perfection.
